The Senior Contracts Analyst shall be responsible for the administration and management of Tenders/Contracts in line with Ingentia Energies Limited’s Contracting processes and procedures. He/she will also be responsible for contract negotiation with vendors, maintain commercial agreements, source and pre-qualify suitable, vendors. The Senior Contracts Analyst shall also be required to perform tasks delegated to him/her by the Contracts & Procurement Manager.

Duties and Responsibilities

  • Review specific contract strategies and ensure alignment with objectives of overall Ingentia strategy.
  • Review and supervise the preparation of all tender documentation, including instructions to bidders, minimum criteria for bidding, technical and commercial proposal requirements.
  • Use of Company’s Contract Management System to process tenders from the Opportunity phase to the Award phase.
  • Obtain requisite NCDMB certifications for all tenders in line with the provisions of NOGICD Act 2010 
  • Supervise the preparation of draft contract and proper inclusion of all technical/commercial requirements, to ensure compliance and alignment with Company’s C&P Strategy and Schedule.
  • Coordinate and manage the timely kick-off and execution of contracts as agreed during tendering
  • Ensure contracts are developed and negotiated within the context of established policies, procedures and Legal requirement. 
  • Leads negotiations within the pre-award stage for contracts of increasing value/complexity with support of relevant technical personnel.
  • Provide solution to resolve contractors' claims and variations to contract.
  • Monitor contractor’s compliance with contract provisions and raise non-compliance issues where required for discussion with contractor. 
  • Coordinate and report progress of contracts and ensure compliance with schedule.
  • Manage and coordinate timely escalation of issues, resolution of claims, and report status regularly.
  • Ensure proper tracking, recording and filing of correspondence and other contractual documentation with contractors.
  • Support and provide guidance to project owners on contractual matters and coordinate joint resolution.
  • Review change management proposals/request and manage the process to ensure the interest of the company is protected and change process delivers value. 
  • Manage, monitor and oversee the preparation of project variation request and make recommendation to management. 
  • Ensure the tendering process is undertaken consistently, in full compliance with established Company process.
  • Interface with internal departments to enable submission of comprehensive, accurate, professional proposals within stated deadlines to ease the contracting process. 
  • Negotiate key commercial terms and determine acceptable commercial risk allocation (payment terms, warranties, pricing structure, etc.). 
  • Work with user departments to develop vendor performance evaluation templates and ensure vendors are appraised accordingly. 
  • Coordinate the evaluation of technical bids submissions with relevant departments and provide necessary guidance to ensure thorough evaluation process. 
  • Ensure contractors compliance with all contract bonds, guarantees and insurances in accordance with contract obligations.
  • Foster a culture of risk mitigation and optimization of opportunity within the contracting and administrative team.

Qualification

  • Bachelor’s degree in Engineering, Business Administration, Management, or related field.
  • Membership of relevant professional body like CIPS, IACCM 
  • Master's in Supply Chain, MBA and Diploma or certificate in commercial law will be an added advantage.
  • At least 10 years of experience within Contracts management in the oil and gas industry.
